We are seeking a driven and customer-focused individual to join our team as the Executive Assistant to the CEO. Reporting directly to the CEO, this role offers a unique opportunity for a professional ready to take their career to new heights. Â

Position Overview: We are in search of a dynamic and highly organised Executive Assistant to the CEO at Elegant Systems. In this pivotal role, you will be responsible for managing the CEO’s schedule, organizing key meetings and appointments, and handling confidential information with utmost discretion. As a vital liaison between the CEO and various stakeholders, you will be instrumental in maintaining effective communication channels and facilitating decision-making processes. This position presents an exciting opportunity for an individual with a passion for executive support to contribute to the success and growth of our organisation. As the right-hand to our CEO, you will play a crucial role in supporting their vision and ensuring exceptional operational efficiency.Â
Key Responsibilities:Â
Confidentiality:Â
- Right-hand person to the CEO/Director including their personal life to some extentÂ
- Act as a first point of contact: answer and field any requests and queries coming via email, Office landline, Mobile phone, WhatsApp messages & Calls including calls from friends and family members appropriately and confidentially.Â
- Provide a comprehensive and fully confidential clerical and personal assistance service to the CEO/Director.Â
- Liaising with suppliers and clients Â
- Manage diaries effectively and organising meetings and appointments allowing appropriate red time allocation for travel and between meetingsÂ
- Coordinate and organise meetings, events, and conferences (both in person and virtually)Â Â
Managing Director/CEO:Â
- Reminding the Director of important tasks and deadlines Â
- Push the Director for information Â
- Reminding the Director of personal commitments Â
- Organise the Director’s personal commitments including childcareÂ
Information Technology:Â
- Collate information, statistics, reports, presentations, and briefs where required.Â
- Prepare meeting agendas, minute taking and proactive diary management.Â
- Typing, compiling and preparing reports, presentations and correspondence Â
- Manage CRM and other internal databasesÂ
- Devise and maintain filling systems, scanning, and printing requirements.Â
- Web ResearchÂ
- Social Media Management (mainly LinkedIn)Â Â
- Lead Generation using LinkedIn and other sourcesÂ
- Work with a new but very experienced sales lady in IndiaÂ
- Content WritingÂ
- Creative WritingÂ
- Email MarketingÂ
- Blog ManagementÂ
- Case Study WritingÂ
- Canva Design (Flyer and Logo Design)Â
- Chase and cross check SEO team for an UpdateÂ
- Work with the Project Manager (Shraddha) and see if there can be any mutual benefitÂ
Accounting and Finance:Â
- Process billing and expenses /mileage claims for submitting to the accounts department every month.Â
- Add sales enquiries to the in-house system and track emails accordingly on behalf of the MD.Â
Miscellaneous:Â
- Booking and arranging travel, transport, and accommodation Â
- Implementing and maintaining procedures/administrative systemsÂ
- Management of other miscellaneous issuesÂ
Qualifications:Â

- Great oral and written communication skills in EnglishÂ
- A knowledge of standard software packages and the ability to learn company-specific software if required with proficiency in CRM software and Microsoft Office suite.Â
- Min 5+ years of experience as Personal Assistant for Senior Management.Â
